Create and publish call sheets
You can prepare a call sheet for each shooting day, preview it, and publish it when it's ready. FilmKit builds the call sheet from the day's schedule, so you only add what the schedule doesn't already say.
To publish a call sheet, the shooting day must be on the active board.
Fill in the call sheet
- In a project, click Shooting days in the sidebar, then click the day.
- In the Shooting day editor, click Open callsheet.
You can also click Open callsheet in the day's header in the List view of the Schedule. - Enter a Name and a Description for the day.
- In Important note, enter anything everyone must know, such as a rain plan or parking details.
- To override a time, under Times, enter a Call time, Crew call, Lunch, or Estimated wrap.
Leave a time blank to take it from the day's schedule. - Click Save.

Set each person's call time
Under Calls, the call sheet page lists everyone the day calls, with their call and wrap. Cast are called 30 minutes before their first scene, and everyone else at the start of their first event. The printed call sheet and the email you send use the same times.
- Next to the person, enter a new Call time.
The time is marked Custom and applies to this day only. - To go back to the automatic time, click next to the time.

Preview the call sheet
- On the call sheet page, click Preview.
The Draft callsheet preview dialog shows the call sheet as a PDF, marked as a draft. - To keep a copy, click Download PDF.

Publish the call sheet
Each time you publish, FilmKit creates a new numbered revision that can't be changed afterward.
- On the call sheet page, choose a Publication stage:
- Preliminary: An early version, marked as preliminary on the PDF.
- Final: The version the cast and crew work from.
- Choose a Broadcast mode:
- Rebroadcast: Sends the new revision to recipients.
- Silent update: Updates the call sheet without sending new emails. Anyone with a link sees the new revision the next time they open it.
- Click Publish, then click Publish again to confirm.
The page shows the latest published revision. After the first revision, the button reads Republish.
If you change the schedule after publishing, the page shows that the working schedule has drifted from the published revision. Republish to bring the call sheet up to date.
Published call sheets also appear with the project's publications. See Publish and distribute documents.
Send the call sheet
After you publish, you can email the call sheet to the people working that day.
- On the call sheet page, click .
- Choose a Send mode.
- Select the people who should receive it. FilmKit preselects the people scheduled for the day.
To add someone else, click + Add someone else, then choose a contact. People without an email address can't be selected. - Click Send.
Track who received it
The Distribution table lists each recipient with their Status, whether they Opened the call sheet, and whether they Confirmed it. Recipients confirm from the link in their email; they don't need a FilmKit account.
In the Distribution table, do any of the following:
- Send it again to one person: Click Resend.
- Stop one person's link from working: Click Revoke.
- Give someone a calendar subscription for the day: Click iCal link, then click Copy link.
- Stop every recipient's link from working: Click Recall call sheet. You can publish and send an updated call sheet afterward.
Publish day sides
After you publish the call sheet, you can publish sides: the script pages for the scenes on the day.
- On the call sheet page, under Day sides, click Publish day sides.
- Click Publish day sides again to confirm.
FilmKit creates one sides PDF for each screenplay on the day, from its latest issued revision. Edits you haven't issued as a revision aren't included. If any screenplay on the day has no issued revision yet, nothing is published. See Manage revisions and locks. To see them, click View publications.
