Build the shooting schedule
You can build the shooting schedule by placing scenes on shooting days and adding the breaks, moves, and meetings around them. Work in the calendar to see times at a glance, or in the list to order a day's work.
If the project has no board yet, click Create Board 1 on the Schedule page first.
Change the view
- In a project, click Schedule in the sidebar.
- Click Day, Week, Month, or List.
- In the Day, Week, or Month view, click or to move back or forward, or click Today to return to the current date.
In the Month view, click a date to open it in the Day view.
Schedule scenes from the list
The List view shows each shooting day with its events, and the Unscheduled scenes panel shows the scenes that aren't on any day yet.
- On the Schedule page, click List.
- In the Unscheduled scenes panel, find the scene. To narrow the panel, enter text in the search field.
- Do one of the following:
- Add the scene to a day: Click the button with the day's number, such as #1.
- Drop the scene at a specific point: Drag the scene by its handle onto a shooting day or onto an event in that day.
The scene appears in the day as a scene-shooting event, and the day's event count and total duration update.
To add a day from the List view, click Add day. To add a blank event to a day, click Add event in the day's header.
Reorder events in a day
In the List view, do any of the following:
- Drag an event: Drag its handle up or down. To use the keyboard, focus the handle, press Space, then use the arrow keys.
- Move an event one step: Click Move up or Move down in the event's row.
- Move an event to the next or previous day: Click Move to next day or Move to previous day.
Add events in the calendar
- On the Schedule page, click Day or Week.
- Drag down the time grid from the start time to the end time.
The new event appears and its editor opens so you can set the details.
To move an event, drag it to a new time or day. To change its length, drag its top or bottom edge. Press Escape while dragging to cancel.
Edit an event
- Do one of the following:
- In the Day, Week, or Month view: Click the event.
- In the List view: Click Edit in the event's row.
- In the event editor, choose a type from the menu at the top:
- Scene shooting: Filming a scene. Click the scene name to choose a different scene.
- Lunch break: A break with a Location and a Menu. Enter one dish per line.
- Company move: A move to a Destination.
- Meeting: A meeting with a title, Link, Protocol, Location, and Description.
- Preparation: A preparation task with a title and Description that you can mark Important.
- Generic: Any other event, with a title and Description.
- Change the Date, Start, End, or Calendar as needed.
If the end time is earlier than the start time, the event ends the next day, as for a night shoot. An event belongs to the shooting day of the date it starts on, shown next to Date, so it appears on that day's call sheet. An event on a date without a shooting day isn't on any call sheet. - To add people, click Add attendee, then choose a contact.
Changes are saved as you make them.

Who a scene shooting calls
You don't add actors to a scene-shooting event yourself. The Cast section lists every character tagged in the scene with the people cast in that role, and FilmKit calls them automatically. A character nobody plays yet is marked Not cast; click the character's name to cast the role. The call sheet and the day out of days report use the same cast.
If a role isn't needed for this event, such as a voice-only part or an actor who only works on another day's part of the scene, turn off the switch next to the character. The role stays listed as Not called on this strip, and the actor is left off this event, the call sheet, and the day out of days report. Turn the switch back on to call them again.
To call someone the script doesn't name, such as a stand-in or a coordinator, click Call someone else, then choose a contact. They appear under Also called.
Plan a scene's shots
In a scene-shooting event, click Add shot to add a planned shot from the scene, then enter how many minutes it takes. Each shot shows the time it starts, based on the durations before it, and Shots shows the planned total against the event's length. Drag a shot by its handle to reorder it.
Breakdown lists the scene's set and props. Under Scene constraints, you can set the scene's Time of day, Continuity group, and Continuity order; they apply to the scene wherever it's scheduled.
To copy an event, click Duplicate event . To delete it, click Delete event . Deleted events move to the project's Trash, where you can restore them. See Restore deleted items from the Trash.
Work with boards
The Boards menu at the top of the Schedule page shows the active board's name.

Click the menu, then do any of the following:
- Switch to another board: Choose the board. It becomes the active board.
- Create a board: Choose New board, enter a name, then click Create.
- Rename a board: Click Rename board next to it.
- Copy a board with its days and events: Click Duplicate .
- Hide a board you don't need: Click Archive . You can't archive the active board. To bring an archived board back, click Restore under Archived.
Manage calendars
- On the Schedule page, click .
- Do any of the following:
- Add a calendar: Click New calendar, enter a name, choose a Color, then click Create.
- Change a calendar's color: Click its color swatch, then choose a color.
- Rename, copy, or delete a calendar: Click Rename calendar, Duplicate, or Delete next to it.
A deleted calendar moves to the project's Trash. When you restore it, its events get the calendar back.
